01Whose data this is

The entries in your khata belong to your business. That includes invoices, purchase bills, party accounts, bank statement lines, expense photos, GST data and reports. We hold this data to provide the service to you, and for no other purpose.

02What we collect

• Account details: your name, email address, business name, business type, state and GSTIN if provided.
• Books data: invoices, bills, vouchers, items, parties, opening balances and any files you upload or forward.
• Bank data: statement lines from accounts you connect read-only or statements you upload.
• Usage data: device type, app version and pages used, so we can fix problems and improve the product.
• Messages: what you send to our sales or support desk.

03How AI Munim uses your data

AI Munim reads your own books to answer your questions, suggest entries, flag mismatches and forecast cash. Answers are drawn only from your business’s data and show the entries they came from.

Your entries are not used to answer questions for any other business, and are not sold or shared for advertising.

04Bank connections

Bank connections are read-only. The service can read statement lines to match them with your khata. It cannot initiate payments, transfers or any change to your bank account.

05Who can see your khata

• Users you invite, with the role you assign them.
• Your CA or accountant, if you give them access. You can remove access at any time.
• Our support staff, only when you ask for help and only for as long as needed to resolve it.
• Service providers who host, process or deliver messages for us, under contracts that restrict their use of your data.
• Authorities, where we are legally required to disclose information.

06WhatsApp and reminders

When you approve an invoice share or a payment reminder, the customer’s name, number, amount and invoice details are sent through the messaging channel you choose. Nothing is sent to your customers without your approval.

07Security

Data is encrypted in transit and at rest. Access inside the service is role-based, and every change to an entry is recorded with who made it and when. You can turn on login alerts and restrict staff to specific books.

08Retention and export

Your data is kept while your account is active. You can export every entry to Excel or Tally formats at any time. If you close your account, data stays available for export for 60 days and is then deleted, except where the law requires us to keep records longer.

09Your choices

• Access and correct your account details from settings.
• Export or delete your books data.
• Withdraw access for any user, CA or connected bank account.
• Opt out of product update emails from the link in any email.
